Purchase Furniture from Industry-Leading Suppliers

Furnishing a public sector space in Canada should not require months of procurement work. Yet for many public sector entities, sourcing compliant furniture still means writing RFPs, evaluating bids, managing trade agreement obligations, and negotiating pricing from scratch—every single time.

Kinetic GPO eliminates that process entirely.

Through a portfolio of pre-competed, publicly solicited contracts, non-profits, municipalities, school boards, universities, hospitals, and other public sector entities across Canada can access industry-leading suppliers at pre-negotiated pricing—with full trade agreement compliance.

The Kinetic GPO Advantage: Why Public Sector Entities Choose Us

Public sector procurement managers evaluating GPO options often ask the same question: what makes one GPO purchasing organization different from another? The answer comes down to scope, process, compliance, pricing structure, and what is actually included in the contract. Our solicitations are all conducted in Canada, for Canadians.

National Coverage, Consistent Pricing

Kinetic GPO operates with a consistent national price book, accessible to any eligible public sector or MASH entity across Canada. A single membership unlocks the same pre-negotiated pricing regardless of which province your facility sits in. For organizations with multiple locations or those procuring on behalf of regional entities, this is a meaningful operational advantage.

"Not to Exceed" Pricing with Room to Negotiate Down

Every Kinetic GPO furniture contract is structured with "Not to Exceed" (NTE) pricing, along with a firm discount, meaning the published rates represent a ceiling, not a floor. Members with high-volume projects can negotiate further discounts directly with awarded suppliers, while the NTE price protects entities with smaller purchases. This structure delivers value at every spend level with no minimum order requirement.

Built-In Trade Agreement Compliance

Every Kinetic GPO furniture contract is fully compliant with:

  • CFTA - Canadian Free Trade Agreement
  • CETA - Canada-EU Comprehensive Economic and Trade Agreement
  • BPS Procurement Directive
  • NWPTA - New West Partnership Trade Agreement
  • ATPP - Atlantic Trade and Procurement Partnership

Compliance is not something your team needs to verify after the fact. It is built into the process and contract structure. Kinetic GPO also actively monitors supplier performance throughout each contract term, ensuring ongoing adherence to the terms and conditions that protect your organization.

More Than Furniture: Full-Service Contracts

Kinetic GPO furniture contracts are not simply product catalogues. Depending on the supplier and scope, contracts include:

  • Space planning and design consultation
  • Professional delivery and installation
  • Asset tagging and inventory management
  • Removal and disposal of existing furniture
  • Post-installation warranty support
  • Access to product samples and fabric swatches

This matters because it eliminates the need to separately tender ancillary services, which is where procurement timelines often stall.

No Cost, No Commitment

Membership with Kinetic GPO is free. There is no minimum spend threshold, no volume commitments, and no exclusivity requirements. Your organization can use Kinetic GPO contracts alongside other procurement methods.

The Kinetic GPO Process

The Kinetic GPO Process: How to Use a Furniture Contract

The process is intentionally simple. Kinetic GPO's model is built around removing inefficiencies from public sector purchasing, not adding new steps to it.
1
Post a Notice

Post a notice on your organization's recognized electronic bid notification system indicating your intent to use the Kinetic GPO purchasing program. This step satisfies the public notice requirement under applicable trade agreements and takes minutes, not weeks.

2
Contact the Awarded Supplier

Reach out directly to the awarded supplier of your choice once you have your membership ID. Reference the applicable RFSO contract number when requesting pricing and services. Suppliers are prepared to respond with Kinetic GPO pricing, product options, space planning support, and project timelines.

3
Confirm & Purchase

Confirm your purchase using your standard contract purchase agreement and the RFSO contract number. From this point, the supplier manages delivery, installation coordination, and any project management support included under the contract. Your procurement file is complete, compliant, and documented.

Furniture Procurement Through Kinetic GPO: FAQs

Furniture procurement through a group purchasing organization (GPO) means your organization accesses pre-negotiated, competitively awarded contracts with furniture suppliers, rather than running its own solicitation. The GPO conducts the competitive process on behalf of all member organizations. Members then purchase directly from awarded suppliers.

Yes. All Kinetic GPO furniture contracts are publicly solicited and awarded in full compliance with the Canadian Free Trade Agreement (CFTA), the Comprehensive Economic and Trade Agreement (CETA), the Ontario Broader Public Sector Directive, the New West Partnership Agreement (NWPTA), and the Atlantic Trade and Procurement Partnership (ATPP). Members do not need to conduct their own trade agreement analysis before purchasing.

No. Kinetic GPO's furniture contracts are structured to be used directly without a second-stage RFP or Invitational Tender. The competitive solicitation, including not to exceed pricing and firm discount structure, has already been conducted on your behalf. Members simply post a notice of participation on their recognized electronic bid notification system, contact the awarded supplier with their RFSO number, and proceed to purchase.

No. There is no minimum spend and no volume commitment. Kinetic GPO membership is free, and contracts are accessible for purchases of any size—whether you are furnishing a single office or a multi-building campus.

Any Canadian public sector or MASH entity, including municipalities, all levels of government (including federal, provincial, and municipal), school boards, colleges, universities, hospitals, long-term care facilities, and qualifying non-profit organizations. Eligibility is not restricted by province or territory.

Current furniture suppliers include Steelcase, Haworth, Krug, Staples, Humanscale, Intellicare, Grand & Toy, and Wintergreen—among others. Each supplier has been evaluated and awarded through a competitive public RFSO process.

Depending on the supplier, services may include complimentary space planning and design, project management, delivery coordination, professional installation, access to product samples and fabric swatches, and expert advice on product selection. These services are included as part of the contract, not billed separately.

A Request for Standing Offer (RFSO) is a procurement tool that establishes a pre-qualified list of suppliers ready to deliver goods or services under set terms and conditions. Kinetic GPO uses RFSOs because they allow members to access competitively sourced contracts quickly, without the need for a full procurement process each time a purchase is required. When a member has a furniture requirement, they simply proceed with the applicable RFSO contract number.

Yes. Several Kinetic GPO furniture suppliers offer products with FSC-certified wood, GREENGUARD Gold certification for low chemical emissions, recycled content materials, and Take-Back programs supporting circular economy goals. Entities with green procurement mandates or LEED building certification requirements should contact Kinetic GPO to identify qualifying products within the current supplier portfolio.

Yes. All Kinetic GPO contracts are non-exclusive. Your organization can use Kinetic GPO contracts for some purchases while conducting standalone solicitations for others. There is no requirement to route all furniture spend through Kinetic GPO.

Membership is free. There are no fees to join, no minimum spend commitments, and no volume requirements. Kinetic GPO collects an administrative fee from suppliers based on purchases made by members.
